What is the max reimbursement amount?

Please look at the maximum amount you can get reimbursed for in your offer letter.

Can I request reimbursement more than once a month?

You may only request reimbursement once per month, either on the 5th or the 20th. If you forget to request reimbursement, you may not request reimbursement twice during the same month.

What type of receipts do I need to submit?

This is a reimbursement request, which means we will need PAID receipts. If the paid receipts do not have clear information about what you request reimbursement for, you must attach the original bill.

Can the receipts be under my spouse's or parent's name?

All reimbursements MUST be under your name. No spouse or parent names are allowed. NO exceptions.

What falls under the health reimbursement?

Some items include, any type of medical procedure including dental work, gym membership or fitness class, vitamins or medicines. If you have any questions about what falls under the health reimbursement, please contact Maria.

Where do I submit supporting receipts if I can't send it through this form?

Any supporting receipts or documents should only needs to be sent to [email protected]

What is the deadline for submission?

Please send the reimbursement sheet with proof up to one day before payroll. It will only be reimbursed if you remember to send it before payroll is sent out.

Will someone send a reminder so I don't forget to submit my reimbursement?

No one will remind you to submit reimbursement. It is up to you to remember.

How do I fill out the sheet when it comes to dollar amounts?

On the reimbursement sheet, only write the maximum amount on the sheet, so if your max amount for internet is $20 but your internet bill is $30, on your sheet, you will write $20 as that is your max.

I missed sending my reimbursement for the past few months, may I submit now to reimburse the back dates?

No, you reimbursements are use it or lose it. You may not submit reimbursements for the past few months if you missed it.

Paid Time Off FAQs

When do I start accumulating PTO?

You will start accumulating PTO after your 3-month probationary period

How does PTO time get accumulated?

You accumulate 3.33hrs per pay period

Do I need to keep track of my own PTO time?

Payroll (Maria) will keep track of that. Ask her for any updates.

Can I make up time if I miss work?

If you are not able to be at work and want to make up some time, please make sure that you get it approved by your manager first and keep Maria in the loop. Please keep in mind that making up time for an absence should not be abused.

What if I have an emergency?

If you are sick or have an emergency and need to miss work, please do your best to let Maria know so the team is aware. At the least let your manager know. You can message Maria via WhatsApp at 9163671891 or send her an email to [email protected]. Upon return, you will still need to submit a Time Off Sheet for our records.

How many PTO hours can I take from one year to another?

You can only take 40 hours of PTO from one year to another. The rest will be paid out during the first pay period of the year (1/5).

Can I choose not to have my PTO hours paid out and accumulate to the next year?

Unfortunately, all PTO hours over the 40hr limit will be automatically paid out. No exceptions.

Is there a portal where we can check our PTO hours, so we don't need to keep reaching out to Maria about it?

Not as of right now, but we're hoping to have something set up soon!

Do I get paid time off for LOJO Holidays?

You start getting paid for LOJO Holidays after your 90 day probation period is over. If there are Holidays before your 90 day, you will need to work or take the day as an unpaid day off.

Hubstaff FAQs

What is Hubstaff?

Hubstaff is a workforce management tool that helps LOJO track time, productivity for payroll purposes.

Is Hubstaff mandatory?

Yes, Hubstaff is mandatory for all LOJO Employees

What if I forget to turn on Hubstaff?

Contact Maria via Slack, she may be able to give you some suggestions such as automatic turn on at a certain time, or a timer.

Can I keep my Hubstaff set to "meetings" all day?

No, if you are in a meeting, you can have Hubstaff set to meetings but if you are doing regular work, set Hubstaff to "work."

Do I have to download the Hubstaff app on my computer?

Yes, please download the Hubstaff app to your computer. If you only have Hubstaff on your browser, you can miss notifications.

Will someone be constantly checking my Hubstaff screenshots?

No, we will only check your Hubstaff screenshots if you give us a reason to do so. Actions such as being constantly late to meetings and missing deadlines will get you flagged.

How is Hubstaff used for payroll?

We use Hubstaff to track your time sheet, we look at the time worked everyday to make sure you are working your hours.

What if I forget to turn on Hubstaff when I get back from my lunch break?

Contact Maria, provide her with the time you missed tracking and a brief explanation on what you were doing.

I can't edit my time!

Correct, time editing is disabled. Please contact Maria and she will edit your time for you.
